To: DUNSI(Public Dist. List) From Margaret.Delacruz@Forsythe.Stanford.EDU Thu Jan 23 18:12:36 1997 To: Department Administrators From: Margaret De La Cruz, Registrar's Office Subject: PRELIMINARY CLASS LISTS It's time to run your department Preliminary class lists (PCLs) for winter 1996/97 courses. Please remind instructors to review the PCLs to see that the correct GRADING TYPE is listed, if changes or corrections are needed, this should be done BEFORE the Quarterly End-Reports are printed on March 10th. WHAT IS A PRELIMINARY CLASS LIST: Preliminary class lists are reports to be distributed to the instructors of every course, advising them of the students currently enrolled in their courses and urging them to resolve any enrollment or course information problems as soon as possible -- before enrollment deadlines preclude their correction! Each department should decide which administrator is the appropriate person to run Preliminary Class Lists. That person will most likely be the staff member with responsibility for course information, since the PCL report is available only through the NSI Course file. HOW: Here's how you use the canned PCL report in the NSI Course file: 1. Select NSI Course file in Prism 2. Type REPORT (F7) 3. Select Class Lists report 4. Type an X next to 'Preliminary Class List Report' on the Parameter Screen. 5. Find the courses for which you want PCLs. To get a complete set for all the courses offered by your department this quarter, type: FIND QYY 296 AND DEPT ___ (fill in the 3-digit numeric code for your dept). To save paper and printing time, you may want to use the following search instead -- it excludes any courses offered by your department in which no one has enrolled, such as 'enroll in' courses. It must be done in two steps: 1. type: FIND QYY 296 and DEPT ___ (then press Return) 2. type: AND TOTENCUR > 0 You may, of course, use some other search if you only want PCLs for a different sub-set of your department's courses. To display the Preliminary Class lists. 6. Issue the OK (F5) command 7. Issue the Print (F9) command, and fill in Print screen to direct the PCLs to your department's printer or the Forsythe printers. This report has a very simple format, so it should work fine on any printer. If you elect to print your output at Forsythe, you may request that the printed PCLs be delivered to you via ID mail by typing your name and ID mail address on the "ID mail" line in the format: name/ dept name/ mailcode. For example, I would type: M. Dela Cruz/ Registrar's/ 3005. You might use PRISM TASKING (type SETUP TASK) to queue this report for automatic generation on the night of your choice. PROBLEMS? If no one in your department has access to the NSI Course file or if you experience difficulty in using the PCL report, please send a note to the NSI consultants at AN.CON@FORSYTHE, describing the problem and listing your name, phone number, and e-mail account. THANK YOU. =============== * (I've got access... Susan)
