FYI.

I encourage everyone to participate in this pilot as I have heard
some concerns about the present arrangement for shipping via UPS.
What I would suggest is that ERL 217 (Shipping/Receiving) continue
to be the pickup point for EE as it is now.  The only thing that
would change is that Bill would need a valid account number at the
time the package is brought to him.  The paperwork provided by
UPS would then be given to the appropriate secretary/administrator.

Of course this is only a suggestion and each group may decide that
their needs are best met with another arrangement.

Please note that this is for packages weighing 70 pounds or less.
For packages weighing more, the present procedures would continue.

United Parcel Services Pilot Project

Shipping Packages Weighing 70 Pounds or Less

UPS ("United Parcel Service Company") launched a pilot project today to
provide parcel pickup service to the Stanford community for University
business.  The trial period is November 1, 1993 through April 30, 1994.
During that time UPS will dispatch a service representative from 330
Bonair Siding, Monday through Friday from 8 a.m. to 4 p.m.  At 5:00 p.m.
each day, shipments are transferred to a regular UPS driver.

The goal of the Project is to provide Stanford with an alternative service
for outbound shipment of individual small packages weighing 70 pounds or
less.  UPS air and ground transportation services may be ordered.

How  to Participate

Pack the Item.  The requesting department is responsible for properly
packing an item to be shipped.  Remember, UPS does not pack or package
items.

Call UPS.  Any Stanford department may telephone UPS and request service
in the regular course of business. The UPS telephone number is
1-800-PICK-UPS.  Call before 4:00 p.m.  Tell the operator you are (1)
calling from Stanford University and (2) your Stanford shipper number
953-414.  UPS will, in turn, dispatch its on-campus representative to
pickup a package, using a customized electric cart to travel around the
campus.

Payment Arrangement.  To properly account for expenditures under the
project, the UPS representative will need to:  (1) see and note a Stanford
University Identification Card number and (2) request and note a valid
Stanford account number.  Account information is written on UPS paperwork
and a copy is provided for the department representative to retain and to
support your Monthly Expenditure Statement.  Keep it for your records.

UPS provides Stanford Accounts Payable department with a daily statement
of transactions, necessary backup and a weekly invoice.  Payments made by
Accounts Payable will appear as charges to the assigned account on monthly
Expenditure Reports.

UPS Service Representative Answers Questions

UPS will visit departments to explain how the project works and describe
the services that are available.  A UPS/Stanford On Call Service Guide and
a Stanford Guide to Using UPS International Service containing pricing and
discounts are available.  Ask for them when the UPS representative visits
or call 1-800-PICK-UPS to request one.
